Job DescriptionAn administrative assistant supports and provides help to an executive or a department within an organization. Some companies don’t make a distinction between administrative and executive assistants; in the ones that do make a distinction, the administrative assistant takes care of research, prep for a presentation, and preparing for meetings. The job description can vary slightly from one organization to another, but all share a few commonalities:*Maintenance of connections between the executive and the rest of the company

*Arrangement of meetings

*Creating and keeping up with invoices, reports, and other documents

*Going with the employer to conferences and meetings

*Overall office upkeep. The administrative assistant makes sure the office is amply stocked with pens, paper, food, etc. They also arrange for the repair and replacement of office equipment, as well as sign for and sort mail.

*Booking travel for the department or the executive

*Interacting with customersAdministrative assistants must be able to adapt to changing work environments, and be ready to shift gears from one job to another.

Some administrative assistants maintain their company’s website, or lend support to other staffers. In some companies, the admin assistants help with the orientation of new hires.To be an administrative assistant, you will need at minimum a high school diploma, as well as no less than three years’ experience with clerical work. You will also need to be familiar with MS Office and the Internet. Administrative assistants need to know how to be part of a team, and they must also be able to work unsupervised.
